Position Summary

Under the direction of the Manager, Tissue Services supervises the day-to-day operations of the Wisconsin Tissue Bank (WTB), assuring quality, operational/cost effectiveness, and compliance with regulatory and organizational requirements.

Responsibilities

  • Operations
    * Supervises the daily recovery operations of the WTB: ensures operations of areas of responsibility are conducted according to all applicable regulatory and operational requirements while meeting goals for operational quality, operational/cost effectiveness, and customer satisfaction.
    * Ensures processes are consistent, effective, and efficient and maximize productivity.
    * Maintains advanced knowledge in the area of donor screening, and serves as a resource to staff members.
    * Collaborates with Manager in compiling necessary reports and statistics related to the WTB and creating action plans.

  • Quality Assurance/Regulatory Compliance
    * Maintains working knowledge of applicable regulations and accreditation requirements.
    * Facilitates compliance with the American Association of Tissue Banks (AATB) standards, the Food and Drug Administration (FDA), and affiliated processing agencies.
    * Monitors systems/processes for compliance with regulations and Quality System Documents (QSDs); participates in using root cause analysis, works with staff to ensure deviations/errors are appropriately identified, investigated, and documented, with corrective and preventive action taken to include subsequent monitoring for effectiveness.
    * Analyzes screening procedures, recommends and implements process improvement or correction designed to maximize efficiency and quality of screening activities.
    * Assists in monitoring of quality assurance and quality control activities.
    * Performs or participates in internal audits and external assessments as appropriate.

  • Financial Management
    * Identifies resource needs and provides input into the preparation of the operational and capital expense budgets that ensure cost-effective operations.
    * Monitors budget and takes action to ensure monthly spending stays within budget including the cost-effective use of resources.

  • Human Resource Management
    * Supervises team of tissue screening coordinators; sets work assignments and schedules.
    * Accountable for coaching/feedback for direct reports; performs responsibilities related to performance evaluation, hiring, discipline, and termination in collaboration with the Manager and Human Resource Services and in compliance with administrative policy.
    * Designs, implements, and reviews training programs for direct reports; ensures staff competence.

  • Customer Service
    * Serves as the screening liaison, builds relationships with OPOs, eye bank, hospital representatives, funeral homes and medical examiner/coroners.
    * Develops and maintains effective intra- and inter- departmental relationships affecting tissue screening.

  • Provides input into the development of annual plans, goals and objectives in support of the vision and mission of BCW; communicates goals and policy changes to staff.

  • Collaborates with OPO/TB staff in hospital-wide and community activities to increase organ and tissue donation awareness and grow organ and tissue donation referrals to the WDN and WTB (Wisconsin Tissue Bank).

  • Participates in program and educational initiatives.

  • Supports and demonstrates a customer services commitment to internal and external customers through adherence to BCW’s customer services standards and processes.

  • Maintains up-to-date knowledge of tissue screening and communicates information to staff in a timely manner.

  • Maintains competence through attendance at mandatory and other job-related educational opportunities.

  • Actively participates in BCW’s Lean and continuous improvement initiatives and leads Lean implementation in area of responsibility.

  • Ensures that staff members are educated to comprehend how applicable laws, regulations, policies and procedures impact their job responsibilities, and ensures their compliance.

  • Completes the responsibilities of the staff supervised as needed.
  • Performs other duties as assigned

Qualifications

Education
  • Bachelor's Degree from an accredited college or university required

  • Equivalent combination of education and related experience may be substituted for the degree with the approval of Wisconsin Tissue Bank Management and Human Resources required
Experience
  • 4-6 years progressively responsible experience working in a regulated environment required

  • performing tissue donor screening preferred

  • 1-3 years leadership/supervisory experience required
Knowledge, Skills and Abilities
  • Knowledge of tissue screening processes required

  • Demonstrated leadership skills to include effective verbal and written communication, problem solving, decision making, conflict resolution, and organizational abilities

  • Ability to lead staff and build relationships

  • Excellent interpersonal and customer service skills with a professional, courteous demeanor

  • Self-motivated and assertive

  • Analytical skills to assist in management of budget

  • Basic computer skills; knowledge of word processing preferred

  • Valid Wisconsin Driver’s License and access to a vehicle
Licenses and Certifications
  • Certification as a Certified Tissue Bank Specialist (CTBS) granted by the American Association of Tissue Banks (AATB) preferred

  • American Association of Tissue Banks (AATB) certification required within 3 years of hire
