Position Summary

Under the direction of the Director, Project Management Office (PMO) and in partnership with Versiti leadership, the Project Management Associate plans, coordinates and oversees assigned Versiti projects in accordance with established Versiti project standards and best practices. The Project Management Associate defines project objectives, tasks, and timelines, develops and updates the project plan / Gantt chart, manages and reports project progress (scope, schedule, budget, resources), and coordinates the efforts of team members to deliver projects according to plan. The Project Management Associate will partner with the project Executive Sponsor, Champion, Steering Committee, and project team members to develop and approve the Project Charter, establishing agreement on the overall objectives, scope, approach, timing, resources, and project budget. They will also partner with PMO project managers (PMs) to develop Versiti project processes and templates, use Continuous Improvement (CI) training to help improve PMO and Versiti processes, and assist with basic project management training for new PMs.

Responsibilities

  • Coordinates and facilitates one to two projects at a time
  • Plans projects by developing and maintaining project scope, goals, deliverables, and key milestones according to governance standards and in collaboration with senior management
  • Creates project deliverables including Project Charter, Business Case, change requests, detailed project plan, status reports, communication plan and implementation documentation
  • Organizes project activities into manageable work efforts and influences / recommends effective approach to complete work according to project plan
  • Collaborates with management, key stakeholders, project sponsors and project team members to drive project execution
  • Coordinates / supports communications with all areas of the organization that impact scope, budget, risks, and resources
  • Identifies and tracks risks and issues; facilitates decision-making that is required for continued project progress and contingency actions
  • Estimates resources needed and commitments required to achieve project goals
  • Supports on-time, on-budget, high quality delivery of assigned projects
  • Builds and maintains working relationships with all stakeholders including resolution of issues and conflicts within the project team
  • Participates on the Versiti Project Council to standardize and support project management practices
  • Assists with training new or less-experienced project team members
  • Actively fosters an environment of continuous improvement
  • Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification
  • Complies with all policies and standards

Qualifications

Education

  • Associate's Degree in business administration, information systems or related field required
  • Bachelor's Degree in business administration, information systems or related field preferred

Experience

  • 1-3 years experience participating in successful cross-functional projects and teams required
  • Less than 1 year experience considered if attained Bachelor's Degree
  • Experience working in a regulated industry (clinical, healthcare, laboratory or pharmaceutical) preferred
  • Experience developing and implementing processes in a regulated environment preferred
  • Experience identifying and implementing operational / workflow improvements preferred

Knowledge, Skills and Abilities

  • Understanding of project management methodologies, tools, and techniques required
  • Excellent written and verbal communication, presentation and facilitation skills, ability to adjust style to executive, management, and staff levels required
  • Demonstrated ability to multi-task and manage multiple tasks and priorities required
  • Effective coordination of complex processes and cross functional groups required
  • Flexible and adaptable to a dynamic and complex environment, comfortable with ambiguity required
  • Ability to work effectively as a team player and facilitate teams required
  • Ability to drive change to achieve results consistent with objectives required
  • Ability to conduct effective meetings required
  • Work independently with minimal supervision required

Licenses and Certifications

  • CAPM - Certified Associate In Project Mgmt. preferred
