Position Summary

Under the direction of the Manager, CCBD, coordinates a multidisciplinary clinic for patients with chronic complex bleeding and coagulation disorders and provides a number of services in direct support of the patients of the clinic. The position is expected to perform most of the tasks independent of direct supervision.

Responsibilities

  • Provides accurate triage for patient phone calls, demonstrating advanced ability to prioritize urgent medical situations, excellent problem solving and judgment skills as well as advanced customer service skills.
  • Interacts with CHW, BCW and other systems to complete all required processes for CHW based clinics, including ordering and scheduling lab work, printing out clinic paperwork, and helping resolve procedural, equipment, and policy issues.
  • Coordinates and provides support for a multidisciplinary clinic for patients with chronic complex bleeding and coagulation disorders. Schedules the clinics and completes all preparatory paperwork as well as ordering laboratory studies, x-rays and charts, obtains patient releases and demographic information, organizes medical staff meetings, and prepares the final comprehensive clinic forms.
  • Maintains patient records in multiple databases and files paperwork, including patient notes in patient charts; maintains statistics for the compilation of grant and other statistical reports.
  • Provides support for the professional staff such as typing correspondence, helping with the revision of dictated patient letters, photocopying, entering patient infusion logs, and scheduling meetings etc.
  • Organizes and maintains supplies level for the Outreach and Home Care Coordinator, as well as prepares supply kits for individual cases.
  • Provide accurate assistance to CCBD nurses and Manager in scheduling patient clinic visits through CCBD’s patient data base.
  • Provides accurate and timely daily support to and coordination with the Therapeutic Products Patient Services Coordinator.
  • Maintains knowledge of all CCBD office procedures in order to provide backup support for other Clinical Services Specialists, and maintains CCBD How To book.
  • Trains new Clinical Services Specialists in clinic and office procedures.
  • Works cooperatively as a team with the other Clinical Services Specialists to provide support for the Nurse Coordinators, Social Worker, Research Coordinator and Financial/Insurance Counselor at CCBD.
  • Shares the following responsibilities with other Clinical Services Specialists: processes CCBD mail, orders supplies for CCBD, compiles articles for and supervises timely mailing of CCBD newsletter.
  • Assists and performs other functions as requested by the Medical Director, CCBD.
  • Performs other duties as assigned

Qualifications

Education

  • High School Diploma or equivalent required
  • Advanced education in business, administrative training or healthcare preferred
  • Associate's Degree from an accredited college or university, or the equivalent preferred

Experience

  • 1-3 years administrative experience required, preferably in a health care environment required

  • Excellent interpersonal and customer service skills required
  • Proven ability to multi-task while maintaining attention to detail required
  • Ability to prioritize/complete a variety of assignments with good judgment and diplomacy required

  • Ability to learn job specific computer applications; Epic preferred required
  • Ability to work effectively in a team environment required
