Position Summary

With support and leadership from the Director, Advancement, the Coordinator executes the gift entry functions, ensuring that philanthropic gifts reflect the benefactor's intentions. The Coordinator ensures that all gifts are processed and acknowledged in an accurate and timely manner, accurate financial reports are generated, gift policies conform to all regulatory policies and prospect research is performed in a succinct, confidential, and appropriate manner. The Coordinator also plans and implements appropriate stewardship activities, events and outreach correspondence that provide opportunities for benefactors to deepen their relationships with the organization.

Responsibilities

  • Manages charitable giving database and create process for most effective and efficient use, including developing procedures for consistent and reliable data input and retrieval.
  • Manages the timely entry of all gifts and pledges into the charitable giving database and generate acknowledgements and receipts within 48-72 hours of gift processing.
  • Creates and provides reports that assist with planning and implementation of the strategic plan, including research reports on current and potential benefactors.
  • Develops, coordinates, and implements stewardship plan for all benefactors, including individual and group initiatives and/or events. These initiatives and events require a limited number of evening and/or weekend work.
  • Updates and maintains current and potential benefactor information including biographical, affinity, gift and relational information. Provide information as requested to support all development efforts.
  • Serves as the liaison between the BloodCenter Research Foundation and the Controller to ensure gifts are recorded and reported appropriately; provide Controller with information required to generate complete and accurate financial reports.
  • Coordinates all staff computer training on database.
  • Produces the donor listing for the annual report and/or other publications as requested
  • Maintains personal professional growth and development plan
  • Maintains a positive image when dealing with executive staff, benefactors, potential philanthropic partners, Board and Committee members, fundraisers, volunteers, and other colleagues.
  • Performs other related duties as assigned or requested.
  • Represents philanthropy and BCW at designated meetings.
  • Maintains required records, reports, and files as pertains to areas of responsibility.

Qualifications

Education

  • Associate's Degree required
  • Bachelor's Degree preferred

Experience

  • Four or more years of professional experience required
  • Experience in fundraising and/or an aptitude for understanding the issues and needs of research, education and clinical operations in a complex health sciences research environment required
  • Experience working with Raiser’s Edge donor software system or comparable CMR program highly preferred

Knowledge, Skills and Abilities

  • Exceptional organization, planning and project management skills required
  • Ability to work in a collaborative and consultative manner with researchers, administrators and staff required
  • Knowledge of donor database system required
  • Ability to engage with benefactors and volunteer leaders required
  • Attention to detail and accuracy in regards to data entry and documents required
  • Strong interpersonal, communication (oral and written) skills and collaborative team building skills required
  • Ability to work effectively with various levels of the organization and manage stress well required
  • Proven ability to work effectively in a team environment required
  • Must have high level of interpersonal skills to handle sensitive situations, maintaining confidentiality required
  • Capable of working under pressure in a high activity environment required
