Position Summary

Under the direction of the Supervisor-Administrative Support, this position provides administrative support to multiple leaders and departments of the Diagnostic Laboratories as assigned. This includes managing multiple calendars. This candidate will be highly focused and detail-oriented with a strong commitment to accuracy.

Responsibilities

 

MAJOR RESPONSIBILITIES

·       Proactively manage assigned leaders’ schedules using electronic calendar system, alerting to upcoming events.

·       Provide administrative support for meetings, including preparing agendas, recording and distributing minutes             within specified timeframe and facilitating catering as needed.

·       Coordinate various meetings and events including internal and external participants, often utilizing remote                 solutions such as Zoom and Teams.

·       Coordinate continuing education opportunities for the Diagnostic Laboratories.

·       Coordinate travel arrangements for assigned leaders, including completing travel reimbursement requests.

·       Organize and maintain filing and document management systems.

·       Compile data and assists in preparation of periodic or special projects including reports and spreadsheets.

·       Participate in team concept providing cross-coverage within department.

 

 

GENERAL DUTIES

·       Order office supplies and maintain appropriate inventory.

·       Distribute mail.

·       Perform incidental typing, photocopying/scanning/faxing.

·       Participate in meetings and work groups.

·       Prepare routine correspondence.

·       Perform other duties as assigned which are reasonably within the scope of the duties in this job classification.

·       Understand and perform in accordance with all applicable regulatory and compliance requirements.

·       Comply with all policies and standards.

 

Qualifications

Education

  • High School Diploma or equivalent required
  • Two to three years post-high school training or experience required

Experience

  • 2-3 years experience required, providing administrative support in an office or health care environment.
  • Proficiency with Microsoft Office software (Outlook, Word, Excel, PowerPoint, Teams) and Zoom required.

Knowledge, Skills and Abilities

  • Knowledge of business and office procedures.
  • Exceptional interpersonal and customer service skills with the ability to communicate with internal and external customers in a professional manner, ensuring that the service standards of Versiti are maintained at all times.
  • Ability to independently problem-solve using sound judgment and critical thinking skills.
  • Proven organizational, prioritization skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Strong degree of self-initiative.
  • Ability to handle confidential situations and materials.
